A vendor follow-up system should show the latest relevant conversation, current status, responsible planner, promised next step, and the date action is due. The goal is not to send more email; it is to prevent unanswered questions and expiring decisions from becoming emergencies.

What should be recorded after vendor contact?

Record the vendor, client, subject of the conversation, latest response, promised action, owner, due date, and any quote or contract deadline.

When should a planner follow up?

Use the urgency of the decision, the vendor’s stated response time, and contractual deadlines. For ordinary availability questions, a respectful follow-up after several business days is usually more appropriate than daily messages.

Urgent event-week communication follows a different protocol and should use the agreed emergency channel. Do not label routine planning questions as emergencies.

How should follow-up messages be written?

Keep the message specific: identify the wedding, restate the unanswered question, include the decision date, and make the requested response easy to provide.

  • Use the existing thread when possible
  • Ask one clearly stated question or group related questions

When should a vendor issue be escalated?

Escalate when a contractual obligation, safety issue, financial exposure, or event-critical commitment is at risk. Preserve the written record and involve the authorized decision-maker.
