The short answer

A strong planner onboarding process turns a signed contract into an organized working relationship. Create the client record, confirm communication expectations, collect essential wedding details, apply the right planning template, and end the kickoff with clear owners and next dates.

What should happen immediately after signing?

Create the client workspace, record the contracted service, invite the couple, confirm the primary contacts, and send one concise welcome message explaining what happens next.

  • Confirm legal names, preferred names, emails, and phone numbers
  • Record wedding date, location, guest target, and working budget
  • Assign the lead planner and supporting team members
  • Confirm normal response times and emergency communication
  • Schedule the kickoff and send the initial questionnaire

What should the first questionnaire collect?

Collect only information needed to begin useful work: priorities, known decisions, important people, budget parameters, venue status, guest estimate, and major constraints.

Do not make the couple complete an enormous discovery exercise before they receive value. Later questionnaires can collect design, ceremony, travel, and vendor-specific detail at the right point in the timeline.

How should the planning timeline be introduced?

Apply a proven template, then review the actual dates, dependencies, responsibilities, and exceptions with the couple before treating it as final.

A template is a starting point, not a promise that every wedding follows the same order. The planner should confirm venue status, destination requirements, cultural events, vendor availability, and contractual deadlines.

What should be true when onboarding is complete?

The couple knows where to communicate and find work, the planning team knows what it owns, and the next meeting, decisions, tasks, and deadlines are visible.

Common questions

How long should wedding planner onboarding take?

The operational setup can usually be completed within a few business days. Discovery continues over time, so avoid delaying useful planning while waiting for every detail.

Should every couple receive the same onboarding checklist?

Use one standard foundation, then adjust it for service level, wedding location, cultural requirements, venue status, and the stage at which the planner was hired.
